The secretarial support team has been developed to provide a dedicated secretarial service for WMP Senior Managers. To provide diary management, and related administrative support to Senior Command members.
The role involves an array of responsibilities;
- Meeting/diary management, including room bookings, taking minutes or action points. Minutes will only be taken where there is a legal or auditable requirement to do so.
- Meeting and greeting visitors
- Management of correspondence.
- Complaints management/noting taking at discipline hearings as required.
- Rewards and recognition management.
- Gifts and Hospitality register.
- Collection and distribution of internal and external mail
- Cover for annual leave of buddy secretary.
- Ad hoc tasks that may be allocated from the shared service.
- Clear communicator with good communications skills both verbal and written.
- Acts in a collaborative way that engages with people at all levels
- Possess a high degree of accuracy and attention to detail.
- Highly motivated & resourceful with good time management skills
- IT literate, including the effective use of Office 365, especially outlook as there is a requirement to manage multiple calendars
- The ability to take notes/minutes accurately and produce associated documents in a timely manner.
- Good knowledge of what excellent service delivery looks and feels like.
- Experience of developing and maintaining, standard operating procedures, processes and audit controls.
- Experience of developing strong working relationships with a wide range of stakeholders.
- Experience of managing own workload.
