About the role:

 

This is a brand new role created within the Operational Events and Tasking Unit.

 

An exciting opportunity has arisen for two individuals to join our busy Operational Events and Tasking Unit. The team are currently based at Bournville Lane but there are plans for relocation to a central police location and then onto our permanent base at the new Park Lane site in 2021.

 

The successful candidates will primarily provide administrative support to lead planners. There may, at times be a requirement to travel within the organisation to attend meetings to assist with minutes and action taking.

 

The Operational events and tasking department are responsible for:

  • Working with partners and event organisers to review, assess and support the planning of significant events across the force i.e. St Patricks Day, Pride and Football.
  • Provide planning and logistical support to spontaneous and pre-planned events taking into consideration things such as; welfare, skill set and transport.
  • Co-ordinate the regions response to all mutual aid requests both locally and nationally.
The role will include:

  • View and update the forces new rostering system (Crown), creating templates, collating figures, searching and/or abstracting officers with the required skill set and communicate postings to officers using the rostering system, email and telephone.
  • Circulate requests for overtime, record volunteers, select and notify successful officers.
  • Organise internal and external planning meetings, invite attendees, recording and circulate agenda and agreed actions and record and update minutes.
  • Input events onto the force calendar as and when required.  Collate and update the force cadres and rotas and upload to the intranet page.
  • Support the day to day functions of the department i.e prepare documents, filter calls and emails and take initial steps necessary to deal with enquiries.
  • Compile management reports by taking information and data from departments and WMP IT systems.
  • Update and maintain computerised records in accordance with department protocols.
  • Assist lead planners with operational logistics i.e. organising food orders, transportation/fleet plans and briefings to officers.
  • Along with all other duties commensurate with the Operations Band B police staff member as requested.  

Interviews are expected to take place between the 02/1/20 and 15/1/20.


Essential skills required:
  • High degree of accuracy and attention to detail.
  • Computer literate with a good working knowledge of Microsoft Office, Word and Excel.
  • Excellent communication skills both written and oral.
  • Proven ability to multitask and prioritise workload in a demanding environment.
  • Excellent organisational skills with effective time management.
  • Proven ability to work part of a team with minimal supervision
  • Able to work effectively as part of a team.
  • Have a flexible approach to work.
  • Can multi-task, prioritise workload and work with minimal supervision. 
Desirable:
  • Experience of working in a planning environment.
  • Knowledge of the rostering system - Crown and/or My Time.
  • Understanding of police regulations and procedures.

Office Working Hours: Monday to Friday with shifts of 07:00 x 15:00, 08:30 x 16:30 and 10:00 x 18:00. You will need to be able to work each of these shifts.
