About the Role:

Specific Role Purpose:

  • To work within a team providing an effective and efficient administrative function which enables the MARAC meetings across the West Midlands Force Area to safely manage high risk victims of domestic abuse.
  • To support West Midlands Police response to provision of information to MARAC meetings.

Key Responsibilities:

  • To provide administrative support including receiving referrals, collating agendas, liaising with agencies from the statutory, voluntary and community sectors on their research re. individual victims/perpetrators, minuting meetings and producing risk management action plans.
  • Responding to enquiries from Police and other agencies on individual domestic abuse cases.
  • To assess whether referrals are at the correct threshold and where necessary, liaising with the MARAC Co-ordinator to agree whether they are appropriate.
  • Preparing and circulating MARAC lists to all relevant attendees via secure means within a set timescale.
  • Preparing MARAC agendas to ensure that cases are reviewed in the most time effective manner and that any specialist attendees are present.
  • Producing accurate minutes of MARAC meetings which differentiate between fact and professional opinion, including agreed actions in accordance with the MARAC Operating Protocol.
  • To maintain an action list following each meeting to ensure they are completed within the target time, challenging agencies where necessary if updates are not provided.
  • To maintain a tracking system of MARAC cases which have been flagged for twelve months following the last incident and to notify colleagues when twelve months have passed so that these flags can be removed from their respective systems.
  • Ensure that the relevant performance data is recorded and collected so that the outputs and outcomes from MARAC can be recorded and submitted in line with local, regional and national requirements.
  • Ensuring MARAC database/document management system is maintained and up to date in line with the MARAC Operating Protocol and Information Sharing Agreement.
  • To use a range of ICT software designed to support the MARAC process as well as other technology as required by the role.
  • To ensure data is input accurately, secured appropriately and shared in line with the MARAC Information Sharing Agreement.
  • To actively participate in the MARAC meeting in terms of sharing knowledge and understanding of individual MARAC casework.
  • To support and assist in the quarterly dip sampling and audit of the MARAC process.
  • To provide information and advice to professionals from across the statutory, voluntary and community sectors re. MARAC referral process and criteria.
  • To provide data to support local, regional and national information requests

This is a fixed term contract ending on 31st March 2020.  


Hours of work: 37 hours per week


Individuals will be expected to travel to different locations to attend local partnership forums/meetings


All candidates will be subject to vetting.

Knowledge & Experience 

  • Good general level of education
  • Experience of working in a multi-agency environment and with professionals at all levels.
  • Ability to build effective relationships both internally and externally, showing sensitivity for others and valuing diversity.
  • Significant experience of working in a busy, pressurised administrative environment.
  • Good communication and listening 
  • Experience of scheduling meetings and arranging venues.
  • Excellent administrative skills in particular producing agendas within set timescales, producing accurate minutes and clear action plans
  • Good level of literacy and numeracy skills to support accurate data entry onto computer records; accurate spelling and filing; data analysis; and clear/concise written products
  • Experience of using a range of IT and software packages, particularly document management systems and databases.
  • Ability to set up and maintain systems
  • Experience of working with confidential and disturbing information
  • Ability to understand and apply local protocols including those relating to information sharing and multi-agency working.
  • Ability to work on own initiative, prioritise workload and meet deadlines
  • Commitment to services for individuals and families affected by domestic abuse.

  • Good understanding of domestic abuse and the role of agencies working together to protect victims.
