Role Responsibilties:

  • Administration and organisation of all Training events ensuring assets are in place. Monitor attendance and record findings and feedback for learning and development purposes. Collation of all resource demands to ensure they are appropriate to the scheduled Training plan.
  • Allocation of all Training opportunities to UK Blue Light agencies. Act as first point of contact for all enquiries relating to resource management and attendance on Training events and meetings. Close Liaison with Training colleagues and partners to ensure effective response time to all enquiries. Monitor and maintain accurate records of Training budget allowance for all regional workshops.
  • Provide support of training packages aligned to the CBRN Training Plan in conjunction with Training colleagues ensuring budget controls are adhered too. Allocation, recording and maintenance of Training attendance and demands.
  • Collaborative working with administration colleagues to facilitate travel and accommodation requirements for CBRN staff utilising contracted suppliers. Ensuring all policies and procedural systems are adhered too.
  • Provision of support to the training officer function and wider admin team, including updating and recording training registration data, minute taking as and when required and the use of bespoke booking systems.
  • Act as the centre point of contact for force SPOC’s for all training queries, course bookings etc.  Act as first point of contact for all enquiries relating to resource management and attendance on Training events and meetings. Close Liaison with CBRN colleagues and partners to ensure effective response time to all enquiries.
  • Maintain the CBRN email Inbox, including the distribution of all information to the appropriate CBRN staff/officers. Ensure all archive procedures are adhered too in relation to information.
  • Provide training and admin support to all members of the Training Design and Delivery teams ensuring resources and facilities including classrooms and accommodation are booked in line with CBRN Centre requirements.
  • Build and maintain excellent relationships with key stakeholders and international organisations/partners.
  • Maintain and update all course material including delegate information and Joining Instructions ensuring all documentation relating to course delivery is made available to delegates.
  • Administrative support for Governance/Command/National meetings; minute taking, maintain action logs, collation and circulation of documentation and co-ordinate pre meet sessions.
  • Management of the completed course records and training course bookings in line with national requirement and resourcing, Monitor attendance and record findings and feedback for learning and development purposes. Collation of all resource demands to ensure they are appropriate to the scheduled plan.
  • Management and updating the resilience direct website for CBRN.
  • Assist with development of accurate and timely solutions, documents and materials for CBRN training programme and projects.
  • Provide appropriate support, advice and/or guidance to CBRN Practitioners at the quarterly forums.
  • Use all available technology within the CBRN centre environment. This will include the operation, understanding of all IT systems relevant to the role. I.e. Door Alarm systems, Spider Phone, Train station.
  • Book all accommodation, travel and transport for the centre staff and officers; Collaborative working with administration colleagues to facilitate travel and accommodation requirements for CBRN staff utilising contracted suppliers. Ensuring all policies and procedural systems are adhered too.
  • Source and procure resources for CBRN including uniform, stationery and other consumables, using contracted suppliers, ensuring value for money principles are adhered to in all procurement activities.
  • Maintain accurate and auditable finance records to provide quantitative and qualitative data. Create invoices for the training courses and process these in a timely manor.
  • Monitor and maintain accurate records of budgets allowance for travel/stationary and other miscellaneous.
  • Ensure that delegates are provided with refreshments including packed lunch’s (if required) for meetings and Course, through the college or other external source.

Health & Safety

  • Health and Safety Coordinator for CBRN i.e.; check and update H&S notice boards, preparation for the Annual Audit, ensure all new members of staff receive adequate training and health and safety information, conduct fire inspections.
  • Liaise with the appropriate member of CBRN Staff to ensure that all required Risk assessments are in place pertaining to all CBRN kit and equipment.
  • Keep all staff informed of Policy changes and Updates.
  • Act as a point of contact for CBRN staff who have any Health and Safety issues or concerns.
  • Update and maintain all Health and Safety training records ensuring training requirements/requests are organised through NPIA where appropriate.
  • Participate in CBRN Health and Safety meetings (H &S Committee meeting, Fire and First Aid meetings) ensuring relevant information is disseminated to CBRN staff.
  • Report and record maintenance faults to Ryton Estates and follow up where required.
  • Deal with and ensure that the appropriate manager is informed and updated regarding any issues pertaining to threat, harm, risk and vulnerability which are likely to impact on or affect service delivery and performance.
  • All other tasks assigned by manager commensurate with role.
Essential Skills and Competencies:

  • NVQ level 2 in Business Administration or equivalent work experience.
  • Ability to effectively use Microsoft Office; Excel, Power point and Outlook.
  • Demonstrable written and verbal skills and an ability to communicate effectively with internal and external stakeholders at a variety of levels.

  • Knowledge of Health and Safety in an office environment.
  • Familiarity with using bespoke Training software packages.
  • Knowledge of the UK policing environment.
  • Experience of working in a multi-agency environment.
